The early registration deadline is 3 September, 2025. After that, standard registration is possible until 12 October, 2025. After that, only onsite registration will be possible.
At least one author of each paper accepted in the main track (including PAIS) must register for the main conference, at the non-student rate (EurAI Member or Non-Member), by the early registration deadline. This applies even if all authors are students. This is a prerequisite for inclusion in the proceedings. We reserve the right to mark papers as no-shows on the conference website if they are not presented at the conference. This does not apply to papers accepted in Workshops.
EurAI members
To qualify as a EurAI member and benefit the special fee, you are required to provide a valid certificate provided by your EurAI member society. It must be uploaded during the Online registration procedure.
Students
Proof of Student status is mandatory. In order to benefit of the special fee, attendants are required to provide a valid certificate (approval letter signed by the Head of Department or copy of your status ID) and it must be uploaded during the Online registration procedure.

All amendments or cancellations should be submitted by email.
The following refund conditions apply:
Name changes are possible free of charge before 12 October 2025. For each name change you need to inform us by email.
After this date, an administration fee of € 50 will be applied. In case of a name change, participants agree to take over all booked programme items from the originally registered participant.
The social dinner is not included in the registration fee. If you want to attend the event, please buy a ticket through the registration platform. Kindly note that there will be limited number of tickets.
All Congress materials will be available at the registration desks.

Participants are asked to wear their name badge at all times during the congress and social dinner. The colours of the name badges have the following meaning:
Main conference
Orange circle
Only weekend
Blue circle
Main conference + workshop
Green circle
Social Dinner
Red circle
Each non-student registration for the main conference covers a maximum of two papers to be published in the proceedings. The presentation of any further paper in the main conference will incur an extra charge of € 200. A single registration can cover a maximum of five papers total.
Authors of papers accepted in the main conference (including PAIS) may purchase up to two extra pages in the proceedings, for € 250 per page. This is not intended to be used to add significant material that has not been reviewed but to allow authors to account for reviewer suggestions. The extra income generated in this manner will get channeled back into the community through travel grants and the like.
